Project Administrator

The Project Administrator is the go-to specialist on job creation, administration and closure in our business management system, Business Central.  You will liaise with the Job Coordinators to ensure optimal job structure, provide periodic reports on a job’s expenditure and estimate-to-complete, prepare draft invoices, and close out completed jobs. 

You will contribute to the development of project reporting practices and processes utilising Business Central to assist the lead engineer in managing each job budget vs actual performance. 

Responsibilities

  • Develop Advitech project monitoring format(s), including traffic light summaries to flag current or impending issues or appropriate Jet reports
  • Develop and maintain ‘active’ jobs reporting schedule with all associated Job Coordinators
  • Compile periodic project report of all ‘active’ jobs:
    - distribute ‘all-green’ reports to relevant Job Coordinators
    - discuss any flagged reports with relevant Job Coordinators
  • Develop invoicing schedule for each ‘active job’ with relevant Job Coordinator at job kick-off
  • Prepare planned invoicing ‘task lines’ for review/edit/release by relevant PM/Job Coordinator
  • Provide summary of flagged reports for management meetings
  • Participate in post-project ‘lessons learned’ sessions

About You

To be successful in this role, you will meet the following essential criteria:

  • Demonstrable experience in this type of role using Business Central or a similar business management system
  • Minimum of 5 years of experience in a similar role, ideally with a consulting engineering provider
  • Excellent communication and interpersonal skills
  • An understanding of the bigger picture and ability to self-manage own workload while working well in a team
  • Excellent attention to detail and the ability to prioritise and manage deadlines

Project Administrators meeting the following desirable criteria will be considered favourably:

  • Experience in a consulting engineering environment
  • A demonstrated history of participating in the development of job management practices and processes
  • A history of working in a collegial team environment

About the Position

Reports To: Principal Engineer – Projects
Location: Advitech office, located in the Emergent Group Headquarters, Newcastle.
